Client Service Assistant

Dixon Wells is national a life insurance brokerage firm.   We are currently looking for an Underwriting Assistant to join our team.

We work with insurance agents, brokers and financial advisors across the country to help them secure life insurance products for their clients who want to protect their families or their businesses.

Role Responsibilities:

Relationship Management:

  • Identify and communicate, daily and weekly, priority cases and relationships for Underwriting Partner to devote focus.
  • Drive customer experience to high levels of satisfaction by adhering to our corporate values.
  • Coordinate customer next-step logistics and deliverables in timeframe provided.
  • Interact with and problem solve for advisers, when appropriate.
  • Document inquiries and develop an appropriate resolution course of action.
  • Liaise with internal staff and external industry relationships, at all levels.
  • Proactively follow up with target attendees for meetings, webinars, conference calls to encourage attendance. Following event, contact attendees to extend appreciation for their attendance. Reach out to those who did no tattend to initiate a discussion.
  • Appropriate involvement of Partner or Director for escalations which cannot be resolved.

Underwriting & case Advocacy:

  • Review and summarize Attending Physician Statements, as directed by Partner.
  • Identify and communicate, daily and weekly, priority cases and relationships for Underwriting Partner to devote focus.
  • Receive, disseminate, track, and follow-up on requests from field.
  • Work with Case Managers to swiftly move open new business to a paid status.

Administrative:

  • Manage and maintain Partner calendar, including scheduling air travel/ground transportation, coordination of business lunch/dinners, making and confirming appointments, and making changes to appointments.
  • Prepare and submit Partner expense report according to company guidelines.
  • Distribute phone and email messages.
  • Carry out an efficient documentation and filing system (paper & electronic).
  • Read and analyze emails and other correspondence, distributing to appropriate personnel in a timely and efficient manner, following up to resolution.
  • Prepare presentations, responses to memos/letters, and other correspondences.
  • Provide clerical and general office support, as needed.
  • Coordinate project-based work.
  • Coordinate and implement all aspects of meetings and events hosted and attended by the Partner.
  • Other administrative duties, as assigned.

Qualifications:

  • High level of interpersonal and relationship skills with the ability to handle sensitive, stressful, and/or confidential situations with poise, tact, and diplomacy.
  • Exceptional verbal, written, and presentation skills (grammar, writing, and editing) to interact professionally with individuals both within the firm and outside associates.
  • Team Player with the ability to cultivate a team spirit within the department, as well as maintain interdepartmental, positive collaboration.
  • Above average problem analysis and resolution skills.
  • Exceptional attention to detail and organization skills
  • Advanced level of proficiency with Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
  • Experience with iPipeline Suite a plus.
  • Education/experience:
    • Bachelor’s degree with major in business or related field plus 3-5 years’ experience at an executive administrative level; or equivalent work-related experience.
